File preparation for print process at AyaPrint.com

General rules on submitting files for print

We collect data electronically via FTP and AyaPrint.com Online system (after creating your account)

It is best to pack all materials submitted for printing into ZIP format (one "zip" file that contains all your files).

 

File Formats


* TIF - The Following parameters need to be taken into account:
format 1:1,
bleeds at about 3 mm on each side,
resolution of 350dpi,
CMYK color mode, do not apply any additional profiles (or specified profile "Coated Fogra 27 (ISO 12647-2):2004);
with no layers - flattened
the recommended compression or LZW compressed ZIP
Project aligned center on the page.

* JPG - The Following parameters need to be taken into account:
format 1:1,
bleeds at about 3 mm on each side,
resolution of 350dpi,
CMYK color mode, do not apply to any additional profiles (or a specified profile "Coated Fogra 1927 (ISO 12647-2):2004)
Project aligned center on the page.

* PDF - PrePress:
all fonts should be converted to curves or properly embedded
bleeds at about 3 mm on each side,
if there are any bitmaps included in the project, they should be saved appropriately - 1:1 scale,
resolution of 350dpi - the work is exposed at frequency (screen ruling) level of 175 lpi
CMYK color mode, do not apply to any additional profiles (or a specified profile "Coated Fogra 1927 (ISO 12647-2):2004)

WARNING!

AyaPrint.com DO NOT bear responsibility for any works sent as Corel Draw and PDF files exported from Corel Draw, as well as any errors resulting in this respect.
Please note that all files in a CDR format will be automatically converted to PDF with the replacement color to CMYK (with the exception of letterhead ordered the PANTONE color or HKS). AyaPrint.com DO NOT bear responsibility for the conversion of color in Corel Draw.

In the case of PDF files exported from Corel Draw, to avoid errors in the print check all pictures and objects on the work and combine it with background (converted to bitmap). We can also check the adjustment/corrections of materials sent by the client. In this case, select "FULL project review" when submitting your order. In such case client has to accept the file(s) before processing the order.

In connection with the possibility of errors in generation of PDF files in vector form rather than as a bitmap from Adobe Photoshop, the object files from Photoshop should be saved as TIFF no layers (flattened). AyaPrint.com not responsible for incorrectly generated PDF files from Photoshop. AyaPrint.com DO NOT bear responsibility for the wrong files generated by programs Photoshop and Corel Draw converted with other software such as InDesign.

CDR - Corel Draw files (up to X4) - in this format we only accept:

* Varnished works (project preview with varnish on a separate page), 1:1,
* Punches for specific works (preferably punch project preview on a separate page) - mark the cutting lines blue and folding lines red, 1:1;
with fonts converted to curves,
bleeds at about 3 mm on each side,
internal bitmaps with appropriate parameters (1:1, 350dpi, CMYK)
work cannot contain any additional color
Project aligned center on the page.

Example: How to prepare a proper PDF file.

* PDF - Prepress:
Adobe Acrobat 4 version 1.3,
350dpi for photos,
vectors: 2400dpi,
bleeds at 3 mm + cutting lines,
for catalogs and brochures - pages in the order 1,2,3 ... etc. (no impositions),
entire project colour: CMYK
detailed descriptions of the files, ie.Catalog_X_Inside.pdf (x = name) Catalog_X_Cover.pdf,
leaflets (folded flyers) should be prepared according to standards presented on our website

Colours


AyaPrint.com DO NOT bear responsibility for colour incompatibility caused by conversion of colour spaces other than CMYK and additional colours (eg. PANTONE, HKS, etc.) into CMYK colour space. ICC profiles embedded in the work will be automatically converted into CMYK using the profile "Coated Fogra 1927 (ISO 12647-2):2004." This applies to all file formats accepted by AyaPrint.com.

Checking your work

AyaPrint.com Online Services offers the following ways of file checking

Basic check (free of charge) - includes a check of work in terms of:

* Format,
* File type,
* Damage caused by transfering file to the system.

Please note! When it comes to basic (and free of charge) check service AyaPrint.com DO NOT bear responsibility for any materials prepared incorrectly and any printing errors caused.

Full, professional check (paid) involves a thorough check of work in terms of:

* Bleeds,
* CMYK colour space,
* Correct folding,
* Creasing correctness,
* Overprints presence,
* Project aligned center on the page,
* Proper file resolution.

In case of errors the files are corrected (if possible) and are sent to the customer for approval.

Please note!  Low resolution can not be improved.

Format (size)


* In the case of ads, due to the ability to print on even and odd pages bleeds should be on all pages.

* Custom graphics or text elements should not be at a distance of less than 4 mm from the cutting line. Keep 1 cm distance from the line format for the essential elements of the graphics on the page (especially the long, parallel to the edge of the page).

* In the case of glued fittings, please note that pages no. 2 and 3 of the cover and last page of the publication will be sealed 6 mm from the spine by gluing the side. Therefore, the minimum distance of graphics and text should be 7 mm. Inside the publication should also be a gap of min. 7 mm.

* Effective spreads in the original format of the glued frame is smaller than the nominal because of the incomplete opening of the book. Correction (a duplication of the image at the inner edge of the page) should be included in the file. There should not be any corrections of layout or format of the page.

* For the sewn binding should be considered a physical phenomenon decrease in the size inside. At customer's request we adjust the mounting position of the stage, compensating for the effect of thickness of the sides of the ridge. The adjustment is calculated based solely on weighing paper.

This results in removal of the image along the back line, the more the pagination is closer to the center of publication. In such cases it is assumed automatically that the system/project allows for the operation.

Please note! 100% black objects are printed (Overprint). AyaPrint.com DO NOT Bear Responsibility for overprints appearing on other colours applied in the work.

* AyaPrint.com DO NOT Bear Responsibility for changing colour in the work caused by conversion from profiles not compatible with "Coated Fogra 1927 (ISO 12647-2): 2004" profile specs.

Verification of colours (Proof) is available as a chargeable option on request.

* On each page of the proof there should be a control strip Ugra / FOGRA MediaWedge V.2.0,

* Print test should be based on the same files that will be used for final print,

* Providing of correctly performed test prints is a condition for the convergence of final print result with the model,

* If a test print does not meet the conditions described in this document it can not be treated as a reliable model for printing colour schemes. In this situation, or in the absence of the colour pattern of the work for which the colour reproduction quality is particularly important, for print process there can be used special colour pattern made for customer at extra cost,

* According to ISO 12647 different colours can be + / - 5% for each colour.

How do I place an order at AyaPrint.com

How do I register?


To place an order online at AyaPrint.com a User needs to create an account first. To do this, click "login/register" button and then select "Register".

You need to fill in the registration form.

Personal information - login and password will be used to log into the site AyaPrint.com online, and to connect to the FTP server.

Name, telephone number, and email of the contact person.

Billing information - the data entered in the fields of this category will be displayed on all VAT invoices.

Where the buyer is a natural person, the fields "Your company name" and "VAT no." may be left blank.

Shipping/Delivery address (default) - all orders placed at AyaPrint.com will be sent to this address.

To complete your registration, you must tick "I agree to the Terms of Service" and click "Register" button.

Once your account at AyaPrint.com has been created you can place your first order.

How to place an order?


When placing an order it is necessary to select a product on the homepage, or by selecting a product from the available list of products which is always located on the left hand side of AyaPrint.com website.

Select a product - this is the first step when placing an order.

Select from the following products:

* Leaflets (folded flyers)
* Flyers
* Business Cards
* Presentation folders

Once the product has been selected you should also choose:
Product Option (size)
Additional services - binding, varnishing etc.
Colouring

The final stage is to select paper type and quantities (choose desired options from the list).

Selected product goes to the basket.

Delete - delete selected product

Continue shopping - by clicking this button you will be redirected to the shop and able to choose another product. Previously selected products are awaiting in your shopping cart.

How to allow AyaPrint.com to process my order?


Saved orders go to the "Waiting Room" located in the Customer Panel. These orders usually remain on "pending" status. All orders that are pending are incomplete for some reason (it is possible that your order is still being checked, files are missing or are incomplete, payment has not been processed etc.). To allow AyaPrint.com to process your order, the whole process including file upload, payments etc. should be completed.

1) Upload a file for your order

The summary of your order will be shown first.

Please: upload a file (There are two ways)

a) upload the file by the web - this method is used to send small files (up to 50 MB) via a web browser. To upload, click "Browse", select the file from your PC/disc and click on "Upload"

Please note! File upload speed depends on its size and speed of customer's internet connection.

Once the file is uploaded, you will see a system message saying that the upload process was successfull.

b) upload a file via ftp - upload a file to a folder on AyaPrint.com FTP server via FTP program, then refresh the order page and select the uploaded file from the list of available files.

This method is used to send large files (unlimited size). Of course, the small files can be uploaded using this method too. To do this, use an external program to connect to the FTP server AyaPrint.com. To configure the connection, use the following data:

FTP Server Address: ftp.ayaprint.com

Username: Username used to log into AyaPrint.com Online Services

Password: Password used to log into AyaPrint.com Online Services


Configure the connection in Total Commander

To transfer files using Total Commander you need to configure the FTP connection.

To do this, follow these instructions.

Install and run free Total Commander software

1) Select a new FTP connection

2) New connection

3) Enter the name of the session (eg. Ayaprint), enter your FTP server ftp.ayaprint.com

4) Enter the Username and Password used to log into AyaPrint.com Online Services

5) Check to use the passive mode

6) Confirm the data entered


To upload files you need to select the proper session from the list and click "Connect"

Once you are connected, copy your files to a folder on the FTP server. When copying is completed refresh the page where information on sending files via FTP is given. Once refreshed a list of files copied to the FTP server will show up. To add a file for your order you must check the desired file and click "Upload file from ftp"

Once the upload process is completed successfully a confirmation message should appear on the screen.


Configure the connection in FileZilla

To transfer files using the File Zilla software you need to configure an FTP connection first.

To do this, follow the instructions.

Install and run the freeware program File Zilla

1) Enter the address of the FTP server ftp.ayaprint.com

2) Enter the Username used to log into AyaPrint.com

3) Enter the password used to log into AyaPrint.com

4) Click the "Quick connect" button

5) Select the file you wish to add to your order

6) Copy the file to the FTP server


Once you are connected, copy your files to a folder on the FTP server. When copying is completed refresh the page where information on sending files via FTP is given. Once refreshed a list of files copied to the FTP server will show up. To add a file for your order you must check the desired file and click "Upload file from ftp"

Once the upload process is completed successfully a confirmation message should appear on the screen.

2) Digital Proof

There are two options:

Without proof - this option is selected by default. The customer chooses not to order a digital proof. There are no additional fees.

Digital proof - customer chooses to order digital proof for his order. Additional charges apply - a minimum of €20 + VAT. The system calculates the price of the proof automatically.

WARNING! Implementation of proof is the first stage and after that customer must accept the proof before AyaPrint.com will process the order.

3) Verification of work

Each order needs to pass verification by the verifier who checks customer's files from technical point of view. After a correct verification (acceptance of work by the verifier) AyaPrint.com starts to process the order.

There are two ways:

Basic check (this is the option selected by default, the service is free of charge)

Please note! This is just a simple and basic file check, inproperly prepared files will be refused. The client needs to improve the file according to the guidelines of the verifier, and then upload the revised file back to the job.

(Includes: bleeds, size, CMYK colour format)

Full, professional check of work costs €10 + VAT per 1 page.

Please note! This is a more detailed file check which also includes corrections. In case of errors verifier corrects file and sends to the customer for approval.

(Includes: bleeds, size, CMYK colour format, folding, creasing, overprint presence check, centering on the work. Note: The delivery time is counted from the date of acceptance of the revised file by a customer).

4) Delivery address

You can change default delivery address for your order.

5) Methods of payment

Customers can pay by a variety of credit cards or PayPal.

WARNING! After you select payment option and save the order it is not possible to change the method of payment!

To complete the ordering process, click "Save" button.

By clicking "OK" you agree to AyaPrint.com terms & conditions and place your order.

By clicking "Cancel" you will be able to return to the previous step and to edit your order.

Your order status
Saved order appears in the list of orders awaiting verification at AyaPrint.com. Section "Orders" is used for status view. To learn more extensive information about the order, click "Details".

How can I check the status of my order?


The order status is viewable in the client's control panel after logging in and by selecting "My Account" option. In the "Waiting Room" section client can find orders which have been saved with no files uploaded and/or no payment has been made. In section "order" customer can find orders that are waiting in a que, that are being verificated or orders already in production or orders already sent to the customer. Each order has its own icon specifying status of the order.
 

Can I cancel my order?


Order may be cancelled only when it is in the shopping cart. To do this, click "remove" button next to the order.

Can I order a product which is not in the official offer?

Why has my order been rejected?

Some orders placed at AyaPrint.com may be rejected for several reasons:

- Non-compliance of the files with specifications.

- File does not comply with the order, for example:
> ordered item is an A5 flyer but supplied file is meant for B1 poster;
> customer ordered 16-pages catalogue but the file only contains 14 pages.

- Customer have chosen to get a "full review" but the file can not be improved because of its specificity or errors in file preparation (e.g. file uploaded to the system is not a source file but an output file; missing fonts or missing objects from the source file).

Please note! We remind you that turnaround time is counted from the date of file approval.

Can I print with AyaPrint.com e.g. a flyer (or other item) that is slightly smaller than the format (size) ordered by me? (e.g. I ordered an A4 leaflet [210x297 mm] and the size of my project is 205x290 mm)

Yes. In any case, if size of the project is different than the size specified in your order, you will be contacted by our verifier in order to determine the target size.

Please note! This operation is only possible if size of the project is smaller than the size on the order. If size of the work (design) is bigger than the ordered size, your file will be automatically rejected.

I ordered an A5 flyer but my file consists of two A6 leaflets prepared on A5 format. Would you cut them into A6 size?

No. The flyers will be cut into a format which was ordered, in this case: A5. Similarly, in other such cases.

 

Can you resize the file to a format that I ordered (I chose the basic check option)?

It is not possible when "basic check" service has been previously chosen.

 

What is the difference between offset varnish and dispersion varnish?

There is no difference. Both are proper names of the same type of varnish.

 

Can I request not to use offset varnish for the materials I ordered?

Yes, but only in the case of posters A1 and B1. In other cases, it is not possible.

What is selective varnish?

Selective varnish is varnish applied selectively only on selected objects of the work. Elements covered with this varnish are more "shiny" than others.

What paper type do I have to order for a leaflet, poster, business card?

The choice of product characteristics should be to the customer.

 

Do AyaPrint.com also provide graphic design services?

Yes. We also provide graphic design services both for print and web. We co-operate with other professional authorized service: BaileDesign.com, a member of our Group. For details, please visit their website.

 

After rejecting a large file (e.g. a magazine) - can I send you again only those corrected pages that previously contained errors?

In general we only accept a set of files (this applies to all products) because of the high risk of confusion. However, if it is a magazine and the file is large (e.g. over 350 MB) it could be possible to send only the revised pages.

 

What is Bleed?

Bleed - printing area, which goes beyond the edge of the final publication. Bleed ensures that the print area will arrive at the edge of the sheet after trimming.

 

What is zip?

ZIP - one of the most used compression formats and data archiving for the IBM PC platform, especially in the Microsoft Windows environment. Program for archiving files into zip format can be downloaded here

What is FTP?

FTP (File Transfer Protocol) - the protocol client-server, which allows you to transfer files to and from the server via TCP / IP network.

This protocol is defined by the IETF in RFC 959.

In our case, the term also means an FTP file server where we send files for print.

AyaPrint.com has his own server: ftp.ayaprint.com

 

What is Proof?

Proof is a print preview for a customer made using a special paper type.

Proof is prepared in order to compare the colours set in the file with colours that will be printed in the final product. Colour Matching between the proof and the final output is 95%.

How do you send proofs to customers?

Proofs are sent by courier/post.

 

Is there a charge for sending a proof?

Shipping costs are included in the proof price.

 

Do you revise the content (e.g. spelling errors, punctuation, objects displacement, picture replacement) etc.?

We perform only the technical corrections (if possible, for example: profile removal, adding bleeds, conversion of fonts into curves). We never edit the content.

 

Why I can not see the file in the order even if it is uploaded to FTP?

If you uploaded a file and you are unable to see it in your order, it is possible that:

1) The file was properly uploaded to FTP but was not associated with the order (the description of how to properly associate files with orders is available here)

2) FTP client has not been set up properly (the most common mistake is to provide improper ftp address, correct address is: ftp.ayaprint.com).

What does it mean: colour 4+4, 4+1, 4+0?

a) 4+4, a leaflet printed on both sides in full colour (i.e., four CMYK components on both sides).
b) 4+1 is an expression of both-sided leaflets, where one side is printed in full colour and page 2 contains only one component of the CMYK palette, e.g. only yellow (Y), only black (K) etc.
c) 4+0 means one-sided item (e.g. flyer, leaflet, poster - printed on one side only).

 

Can I get from you a file that I uploaded for an order placed three months ago?

It is not possible. We do not store data sent by customers for their orders.

 

What is the turnaround time for orders?

Turnaround time is counted from the date when we accept your files.

If the file is accepted before 16:00 then that day is counted to the turnaround time of your order.

If the file is accepted after 16:00 - turnaround time will be counted from the next business day.

Turnaround times for orders are given on the page with the product and in the help file. Information on the date of dispatch of the finished product is sent to the client automatically after files have been approved by the verifier. It is also available in the user panel on AyaPrint.com website.

Please note! If you choose to pay by bank transfer, we can begin the verification process only after receiving payment confirmation.

 

Is this possible to get my order done sooner than normally?

Delivery times are given on AyaPrint.com. We stick to those dates and it is not possible to speed it up in any way.

Can I change my password used to access the user panel/ftp accounts?

Yes. This can be done by sending an email to info X ayaprint.com. When sending your email, please use the subject "Change password access". Also remember to type your company name, contact information, login and new password.

 

I forgot my password. How can I retrieve it?

The password can be recovered with our reminder system available on the website.

 

Do people at AyaPrint.com know my password?

No. Password is automatically generated and none of the staff knows any passwords of AyaPrint.com customers.

 

What transportation companies are responsible for transport of goods at AyaPrint.com?

We co-operate with our trusted courier companies.

 

Can I pick up goods myself?

No. We only do online sales and ship goods directly to our customers.

 

What is the default shipping address for my order?

Default shipping address is the address given by customer upon registration. This address can be changed when placing particular orders (default delivery address will remain unchanged).

 

Can I change delivery address for particular order?

Yes. This can be done in the client panel editing an entry for a given order. Please note! In the case where the person collecting the parcel is different than the person entered upon registration, invoice will be sent automatically to the default shipping address provided during registration.

 

Is it possible to change the delivery address permanently?

Yes. You can edit this address in the client panel in section "My details".

 

Do you deliver goods on Saturdays? For example, parcel sent on Friday with delivery the next day on Saturday?

No. All goods are delivered on business days only. So if we send a parcel on Friday, it will be delivered on Monday at the earliest.
The same rule applies to public holidays.

 

Do you ship goods on Saturdays?

No.

Do you accept postpaid payments?

No. We only do prepay transactions.

 

Which postal address do you use for sending invoices?

If the name of the person who collects goods and the company details are the same as the details stated on the invoice, it will be automatically sent along with the parcel to the delivery address provided.

If the name of the person who collects goods and the company details are different than the details stated on the invoice, the document will be sent to the address stated on the invoice.

 

If I cancel an order where also a proof was ordered, will the fee for the proof be refunded?

If client has received a proof, the amount refunded for canceled orders will be reduced by the cost of the proof.

 

Can I get an invoice for an order with other customer details than those provided during registration?

No, it is not possible.

 

How to prepare a magazine?

We highly recommend to send it to us as a single PDF file.

The file should consist of single pages only!

Where pages are not numbered (have no pagination), they should be numbered outside cutting lines.

Pages should be arranged in a file page by page with no impositions (i.e. 1st cover page, 2nd page of the cover, 1st page of the content, next page of the content (...) last page of the content, the page next to last page of the cover and the last cover page).

The work should:
- be centered on the page
- include bleeds and cutting lines
- be prepared in CMYK colour with no additional colours (e.g. PANTONE)

Furthermore, please note that:
- all fonts should be converted into curves, and colour profiles removed
- graphics should be prepared at 350 dpi resolution

 

How to prepare a folded flyer (leaflet)?

The work should:
- be centered on the page
- include bleeds and cutting lines
- be prepared in CMYK colour with no additional colours (e.g. PANTONE)

Furthermore, please note that all fonts should be converted into curves, and colour profiles removed.

Flyers folded from A4 to DL or from A3 to A4 should contain two pages with all individual elements properly composed (e.g. flyer folded from A3 to A4 should consist ot two A3 pages, an A4 leaflet folded to DL should consist of two A4 pages with the already correctly arranged particular elements of DL format).

How to prepare a presentation folder?

The work should:

Presentation folder project should be delivered to us preferably in PDF format on one page only.

The second page should contain blanking lines. Punch pattern can be downloaded here

Page 3 should contain varnish project, assuming ordered folder is meant to be varnished (varnish is 100% of one of the CMYK palette colours, preferably black).
